Requirement
Janus Capital Group is one of the world’s largest managers of investment funds. Janus operates several telemarketing and teleservices departments that field requests for information from Janus clients and prospective clients. To ensure consistent, prompt delivery of electronic documents, Janus needs to maintain a centralized document library that contains the current, approved versions of marketing materials and other investor documents. Janus representatives need to be able to provide documents by fax and by email while minimizing the administrative burden on the sales and customer service representatives.
Solution
SmartSource implemented a system for Janus whereby Janus can maintain on SmartSource servers approved versions of documents for delivery to clients. Each document is maintained in a fax and e-mail delivery format. Service representatives use a Web interface to request document delivery from their desktops and to record recipient information. SmartSource manages the immediate delivery of the documents via the recipient’s choice of media and provides regular reports to Janus management regarding document deliveries. The reports are used to track inquiries and to monitor activities of sales and service representatives. The system makes the service representatives more efficient and guarantees that accurate information is provided to clients in a timely manner.
